How Three Teams Approached Response Data

Survey Insight Review — 4 weeks

Challenge

The foundation had collected 180 open-ended responses from a community needs assessment. Staff were spending evenings reading through responses manually and the process was taking too long to produce anything usable for funders.

Solution

We ran a Survey Insight Review across the full 180 responses, grouping themes by topic area and preparing a two-page written summary that the foundation could share with funders directly.

Result

The foundation received the summary in 4 working days. The document was used in a funder update without revision. Staff time on the needs assessment dropped from approximately 3 days to zero for future data collections using the same format.

Challenge

The Response Insight Programme set up a consistent AI-assisted grouping process across all three surveys, with scheduled monthly review cycles and a shared review framework. The programme included four training sessions and a detailed maintenance guide.

Result

Reporting consistency improved noticeably after the first cycle. The team now uses a shared framework for all three surveys and has extended it to a fourth survey independently. Monthly review time across the three surveys dropped from approximately 2 days to half a day.
